We sometimes read poor quality translations provided by our clients that have completely different tones, voices, perspectives or turns of phrase. This indicates to us that previous translators have not had the benefit of tools that help ensure consistency 鈥 glossaries and style guides. In order to provide high-quality, accurate translations, translators and interpreters will often ask their clients questions like: which version did the client prefer? Which one did the audience prefer? What is your term of choice?

This is why style guides and multilingual glossaries are integral to the long-term success of your translated texts. They ensure your clients or prospects are reading the text as you meant it to be read, consistent with your other documents, and not as a poor, awkward or inconsistent version of the original text.

These resources are usually created in one of two ways; ideally, a multinational company has already created references for the numerous translators that have been working for them, in various languages, as a means of unifying the content to consistently represent their brand, in a unified voice that appeals to their target audience.

In other cases, when smaller companies hire translators or interpreters for the first time, the linguists create these resources on their own, to serve as a reference for the next time they provide translations and also for colleagues who work for the company down the road.

The same type of glossary should exist for your industry, identifying and defining standardized terms in the source language. This helps translators to understand unfamiliar terms, as well as to land on similar descriptors and ideas for consistency鈥檚 sake.

A professional glossary will include:

  • Key terms. This includes words, products, services, phrases, expressions, abbreviations and acronyms that are common to your company and/or industry, as well as terms or concepts that are relevant to your company culture.
  • Definitions. The definitions contained there should be as detailed and complete as possible so translators understand each of them completely.
  • Preferred translations. There is rarely a single translation of any term, which is why our linguists are interested in knowing your preferred translations. A style guide serves as a short set of standards that detail your desires and preferences. If you don鈥檛 have a working, relevant or quality style guide at the ready, it鈥檚 a good idea to draft one while forging your new relationship with your translator.

Let鈥檚 be clear that a style guide does not have to be a long, complicated publication. In fact, the more concise and focused it is, the better, because this makes it easier for translators to access it efficiently and use what they鈥檝e learned as they tackle your next project.

Tips on helping interpreters prepare for a meeting or event

Do your interpreters鈥 continuous requests for more information seem excessive? We get it. However, we would also say, 鈥渂eware the interpreter who 诲辞别蝉苍鈥檛 pepper you or your staff with requests for materials.鈥 That is a sign they may not be as invested in their performance as they should be, or are perhaps over-confident.

Whether you use interpreters once in a while or are looking for a language services provider to partner with on a more regular basis, this Event Preparation List is a good thing to nail down so you can easily provide helpful background information. Submit the materials/information automatically once the contract is signed, and we bet those slightly irritating requests for information will slow down considerably because the interpreter will already have what s/he needs.

  • Links to your website and marketing materials

We like to have links to your website, social media accounts and paper marketing materials whenever possible. Any photos and bios for the interpreter鈥檚 direct contacts are also helpful. This allows us to get a sense for who you are, what your company does and stands for, and your company culture. Whenever possible, we like to match our approaches, attitudes, voice and tone to that of your team鈥檚 and your company鈥檚 general style.

  • The schedule or agenda

This may seem like a non-issue but, in fact, it helps a great deal. While interpreters are along for the ride, it is still nice to know the order of the day, when each topic will be discussed, and when break and meal times are planned. Any information regarding an event鈥檚 speakers鈥 r茅sum茅 or speaking notes are extremely helpful as well.

  • Information from previous meetings, conferences or events

Is this an annual meeting or conference? Have you hosted or attended a similar event in the past? If so, any recordings, videos or actual scripts or minutes can be instrumental in helping your interpreter team 聽get a better idea of the tone, content and approach, as it will give them a better feel about what the overall experience will be like.

  • Speeches and PowerPoint presentations

Of course, interpreters are trained to speak extemporaneously and they will do so. However, it is so much more effective to have the actual text and information on hand ahead of time so they can mentally map out the prospective route, even if it is a draft. Of course, we do not memorize it and you are welcome to take impromptu detours 鈥 we do not look at it as set in stone. It is simply a useful guide. Having the information ahead of time is like the difference between running through a speech a few times before you walk up to the podium, or walking up to an audience and reading it cold from a teleprompter for the first time: the more familiar with the content you are, the more natural the delivery and inflection will be.

  • Schedule a pre-event Q&A or slide review

Finally, if at all possible, we appreciate when clients make the time to schedule a pre-event Q&A session with our interpreter(s). This is especially important if the information is highly specialized, niche or more technical.
